Privacy Policy

When you create or use a BOX ONE account, we may collect:

• Email address and account credentials
• Display name or other profile information you choose to provide
• Your selected resource location for jurisdiction-specific Protection resources
• Rental and property information you enter
• Rental dates, rent, deposits, and related information
• Room names, inspections, issues, notes, and events
• Landlord, property manager, or representative contact information you choose to enter
• Photos, videos, audio recordings, documents, captions, and other evidence you intentionally upload or capture
• Information included in evidence files, including available metadata such as file type, dimensions, duration, and EXIF information

You should not upload information you do not have the right to collect, use, or share.

BOX ONE is designed to preserve evidence in the form in which you provide it. Original uploaded or captured files may be retained without stripping available metadata. Depending on the file and device, this may include EXIF or other embedded information.

BOX ONE may generate additional information associated with evidence, including:

• Capture and upload timestamps
• File size and type
• Integrity hashes
• Unique evidence identifiers
• Location information
• Room assignment
• Integrity and synchronization status
• Record history and corrections

We process this information as necessary to provide the features you request, maintain the Service, protect the Service, and comply with applicable law.

BOX ONE may collect location information associated with evidence when your device provides it and you permit location access. This may include:

• Latitude
• Longitude
• Location accuracy
• The approximate relationship between the evidence capture location and the rental property location

BOX ONE does not continuously track your location or provide background location tracking.

Rental property location and account resource location serve different purposes. Your rental property location may be used for evidence location verification. Your selected resource location may be used to provide jurisdiction-specific Protection resources.

Location verification is intended to provide a proximity indicator. It is not a guarantee that a person was physically present at a particular location.

BOX ONE may generate cryptographic hashes, including SHA-256 hashes, to help verify whether a stored evidence file matches the file associated with its record.

Integrity verification is a technical recordkeeping feature. It does not guarantee that evidence is authentic, truthful, admissible in court, or sufficient to establish any particular fact.

BOX ONE may temporarily store information and evidence on your device so that you can continue capturing documentation when an internet connection is unavailable.

Local copies may remain on your device until they are synchronized, discarded, or otherwise removed according to the Service’s functionality and your device’s storage behavior.

Device and browser storage can be affected by operating-system settings, browser behavior, available storage, clearing website data, device loss, or other events outside our control.

For important records, you should maintain appropriate independent copies.

BOX ONE uses third-party infrastructure and service providers to operate the Service, including providers supporting authentication, databases, file storage, and related application infrastructure.

Currently, BOX ONE’s backend infrastructure is provided through Lovable Cloud and its underlying service infrastructure.

We may use additional service providers in the future when reasonably necessary to operate, maintain, secure, or improve the Service.

Service providers may process information only as reasonably necessary to provide their services to us or as otherwise permitted by applicable law.

We may use information to:

• Create and maintain your account
• Provide BOX ONE’s documentation and evidence features
• Store and synchronize evidence
• Organize evidence by rental, room, inspection, or event
• Verify evidence integrity
• Provide location verification features
• Create sealed records and evidence packages
• Provide sharing and export functionality
• Provide Protection resources
• Respond to support requests
• Detect, prevent, and address fraud, abuse, security incidents, and technical problems
• Maintain and improve the Service
• Comply with legal obligations
• Enforce our Terms of Service

We do not sell your evidence or personal information.

We do not use your evidence for advertising.

Certain BOX ONE features allow you to seal records or evidence packages. Sealing may restrict subsequent changes or deletion through the Service.

Certain record history, correction history, addenda, or related information may be retained as part of the evidence record and may not be independently removable.

Sealing does not guarantee legal admissibility, authenticity, or any particular outcome.

BOX ONE may allow certain metadata corrections, such as correcting the room associated with an evidence item. Where available, corrections are designed to preserve the original evidence and relevant historical information while recording the correction.

Corrections do not rewrite the original file, checksum, capture time, or original capture coordinates.

BOX ONE may allow you to share or export evidence. Depending on the feature, shared records may include information such as:

• Evidence files
• Evidence metadata
• Integrity information
• Location information
• Timestamps
• Room or rental information
• Record history
• Your name or other information you choose to include

If you create a shareable link, anyone who obtains the link may be able to access the information made available through that link.

BOX ONE cannot control what a recipient does with information after you share it, including copying, saving, forwarding, photographing, or otherwise redistributing it.

You are responsible for choosing appropriate recipients and reviewing what you share.

BOX ONE may provide links to governmental, nonprofit, housing, legal, mediation, insurance, or other third-party resources. These resources are provided for informational and convenience purposes.

BOX ONE does not control or guarantee the accuracy, completeness, availability, currency, or suitability of third-party resources.

Listings or referrals do not constitute endorsements, legal advice, or guarantees of service quality or outcome.

Third-party websites and services are governed by their own terms and privacy policies.

BOX ONE does not currently use advertising networks or behavioral advertising to monetize your evidence.

BOX ONE does not currently use third-party analytics or tracking technologies for advertising purposes.

Operational logs or technical information may be generated as part of maintaining the Service, security, authentication, troubleshooting, or preventing abuse.

If our data practices materially change, we may update this Privacy Policy as required.

BOX ONE may introduce optional AI-powered features in the future. If AI features are introduced, we will describe their relevant data practices before or when those features are made available, as required by applicable law.

BOX ONE does not currently use your evidence to train advertising models.

We use reasonable technical and organizational measures designed to protect information against unauthorized access, loss, misuse, alteration, or disclosure.

No method of transmitting or storing information is completely secure, and we cannot guarantee absolute security.

You are responsible for maintaining the security of your account credentials and devices.

We retain information for as long as reasonably necessary to provide the Service, maintain account and evidence functionality, comply with legal obligations, resolve disputes, enforce agreements, protect the Service, and fulfill other legitimate operational purposes.

Retention periods may vary depending on the type of information and the features you use.

Certain sealed records, shared records, or evidence history may be subject to different retention requirements or restrictions.

You can permanently delete your entire account from Settings. This removes your profile, rentals, rooms, inspections (including sealed inspections), evidence and its stored media files, corrections and history, share packages, and your sign-in credentials. Any share links you created stop working.

Individual evidence items cannot be deleted on their own. Once a capture has finished uploading it becomes part of your permanent record and can only be annotated with a correction or dispute, or removed by deleting your whole account. A capture that has not finished uploading can still be discarded from the device.

BOX ONE does not currently offer a full account-data export. Export your rental record from the Export page before deleting your account. For help with a deletion request, contact support@boxone.app.

We will process deletion requests in accordance with our then-current procedures and applicable law. We may retain information when reasonably necessary to comply with law, resolve disputes, enforce agreements, protect the Service, or maintain records we are legally or otherwise required to retain.

Deleting information from BOX ONE does not necessarily remove copies that you previously exported, downloaded, shared, or stored elsewhere.

Deleting an account or cloud record does not necessarily remove copies stored locally on your device.

Local copies may require action through your device or browser settings.

BOX ONE is intended for adults.

You must be at least 18 years old to create or use a BOX ONE account.

BOX ONE is not directed to children under 18.

If we learn that an account has been created by someone under 18, we may take appropriate steps to terminate the account and handle associated information in accordance with applicable law.

BOX ONE is operated from the United States.

Depending on the infrastructure and service providers used by BOX ONE, information may be processed or stored in the United States or other jurisdictions.

By using BOX ONE, you understand that information may be processed in jurisdictions whose laws may differ from those where you live.

Depending on where you live, you may have rights regarding your personal information, including rights to access, correct, delete, or otherwise control certain information.

We may update this Privacy Policy from time to time.

When we make changes, we may update the Effective Date and Last Updated date above.

If changes are material, we may provide additional notice when appropriate.
