Terms of Service
Effective Date: October 12, 2026
Last Updated: October 12, 2026
These Terms of Service (“Terms”) govern your access to and use of BOX ONE. BOX ONE (‘BOX ONE,’ ‘the Service,’ or ‘the app’) is currently operated by Kency Halford, an individual doing business as BOX ONE (‘we,’ ‘us,’ or ‘our’). If BOX ONE is later transferred to a business entity, we will update these Terms.
By creating an account or using BOX ONE, you agree to these Terms.
If you do not agree to these Terms, do not use the Service.
1. The Service
BOX ONE is a documentation and organization tool designed to help renters capture, organize, preserve, and protect records relating to their rental homes.
BOX ONE may provide features including evidence capture, storage, synchronization, integrity verification, location verification, room organization, inspections, sealing, sharing, exports, Protection resources, and other documentation features.
Features may change over time.
2. Eligibility
You must be at least 18 years old to create or use a BOX ONE account.
By using BOX ONE, you represent that you meet this requirement and have the legal capacity to agree to these Terms.
3. Your Account
You are responsible for:
- Providing accurate information
- Maintaining the security of your account credentials
- Protecting access to your device and account
- All activity occurring through your account that results from your failure to reasonably secure it
You must promptly contact us if you believe your account has been compromised.
4. Your Content
You retain your ownership rights in photos, videos, audio recordings, documents, notes, and other content you submit to BOX ONE (“User Content”).
You grant the operator of BOX ONE a limited, non-exclusive license to host, store, reproduce, process, transmit, display, and otherwise use User Content only as reasonably necessary to provide, maintain, secure, and improve the features of the Service, comply with applicable law, and enforce these Terms.
We do not sell your evidence or personal information.
We do not use your evidence for advertising.
5. Your Responsibilities
You are responsible for ensuring that you have the right to capture, upload, store, record, and share the content you submit.
You are also responsible for complying with applicable laws when using BOX ONE, including laws relating to recording people, audio, video, privacy, property access, and disclosure of information.
6. Prohibited Conduct
You may not use BOX ONE to:
- Harass, threaten, stalk, or abuse another person
- Conduct unlawful surveillance
- Record or collect information unlawfully
- Fabricate, materially alter, or intentionally misrepresent evidence
- Circumvent security or access controls
- Attempt to gain unauthorized access to another account or system
- Introduce malicious code or interfere with the Service
- Abuse automated requests or otherwise disrupt the Service
- Use the Service to provide unauthorized legal, investigative, or professional services
- Resell or commercially exploit the Service without our authorization
- Violate applicable law
7. Evidence Integrity
BOX ONE may use cryptographic hashes, timestamps, unique identifiers, and other technical controls to help preserve and verify evidence.
These features are intended to support documentation and recordkeeping.
They do not guarantee that evidence is authentic, complete, truthful, admissible in court, or sufficient to establish any particular fact.
8. Location Verification
BOX ONE may compare the location associated with an evidence capture with the saved location of a rental property.
Location verification is a proximity-based technical feature.
It may be affected by GPS accuracy, device settings, unavailable location data, saved property information, network conditions, or other technical limitations.
A verified location does not guarantee that a person was physically present at a particular location.
9. Sealed Records
Certain BOX ONE features allow records or evidence packages to be sealed. Sealing may restrict later modification or deletion through the Service.
You are responsible for reviewing information before sealing it.
Sealing is not a legal certification and does not guarantee admissibility, authenticity, or any particular legal outcome.
10. Corrections and Record History
BOX ONE may permit limited corrections to certain evidence metadata. Where available, corrections are recorded as part of the record history.
A correction is not intended to rewrite the original evidence file or its underlying integrity information.
11. Sharing
You are responsible for determining what information you share and with whom you share it.
Shared records may contain evidence, metadata, timestamps, locations, integrity information, room information, rental information, and record history.
Anyone who obtains a share link may potentially access the information made available through that link.
BOX ONE cannot control subsequent copying, saving, forwarding, or redistribution by recipients.
12. Offline Use and Synchronization
BOX ONE may allow evidence to be captured while offline and synchronized later. Synchronization may be affected by device storage, browser behavior, network availability, operating-system behavior, interrupted transfers, or other technical conditions.
You are responsible for maintaining appropriate independent backups of information that is important to you.
13. Video Size Limit
BOX ONE currently limits individual video uploads to 600 MB.
Files exceeding the applicable limit may be rejected.
We may change technical limits in the future.
14. Service Availability
We work to keep BOX ONE available and reliable, but we do not guarantee uninterrupted or error-free operation.
The Service may be unavailable or limited because of maintenance, network problems, device limitations, third-party infrastructure, security incidents, technical failures, or circumstances beyond our reasonable control.
15. Protection Resources
BOX ONE may provide informational resources and links relating to renter rights, housing assistance, legal resources, mediation, insurance, and other services.
These resources are provided for informational purposes only.
BOX ONE does not provide legal advice, does not act as a law firm, and does not establish an attorney-client relationship.
We do not guarantee the accuracy, completeness, availability, currency, suitability, or outcome of any third-party resource.
Inclusion of a resource or provider does not constitute an endorsement.
16. No Legal Advice
BOX ONE is a documentation tool.
Nothing in BOX ONE or its resources should be understood as legal advice, legal representation, or a guarantee about your rights, obligations, claims, defenses, evidence, or likely legal outcome.
You are responsible for determining whether and how to use your records in a particular situation.
17. Deletion
You can permanently delete your entire account from Settings. Deletion removes your profile, rentals, inspections (including sealed inspections), evidence and its stored media, corrections and history, and your sign-in. It cannot be undone.
Individual evidence items are not independently deletable once uploaded. Sealed, shared, and historically preserved records can only be removed by deleting your account. Content you already exported, or that a recipient already downloaded or saved, cannot be recalled.
BOX ONE does not currently offer a full account-data export. For help with a deletion request, contact support@boxone.app.
Deletion requests will be processed according to our then-current procedures and applicable law.
18. Suspension or Termination
We may suspend or terminate access to BOX ONE when reasonably necessary to protect the Service, users, third parties, or our rights; address violations of these Terms; comply with law; or otherwise operate the Service.
Where appropriate, we may provide notice or an opportunity to resolve an issue.
19. Intellectual Property
BOX ONE, including its software, branding, design, interfaces, text, graphics, and other Service components, is owned by or licensed to the operator of BOX ONE and is protected by applicable intellectual-property laws.
These Terms do not transfer ownership of BOX ONE or its underlying intellectual property to you.
20. Third-Party Services
BOX ONE may rely on third-party infrastructure, services, websites, or resources.
Third-party services are governed by their own terms and policies.
We are not responsible for the independent operation, availability, accuracy, or practices of third-party services.
21. Future Features and Paid Services
BOX ONE may introduce additional features, subscriptions, one-time purchases, household plans, business services, or other paid offerings in the future.
Any paid offering will be subject to the pricing, terms, and disclosures presented when that offering becomes available.
22. Disclaimers
BOX ONE is provided on an “as is” and “as available” basis to the maximum extent permitted by applicable law.
We do not guarantee that:
- The Service will always be available
- The Service will be uninterrupted or error-free
- Evidence will never be lost, corrupted, damaged, or inaccessible
- Location information will always be accurate
- Integrity verification will detect every possible alteration
- A record will be accepted as evidence by a court, agency, landlord, insurer, or other person
- BOX ONE will produce any particular legal, financial, housing, or other outcome
23. Limitation of Liability
To the maximum extent permitted by applicable law, the operator of BOX ONE and their owners, officers, employees, contractors, affiliates, and service providers will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages arising from or related to your use of BOX ONE.
To the maximum extent permitted by applicable law, our total liability arising from or related to the Service will be limited to the greater of:
- (a) the amount you paid to use the applicable Service during the twelve months before the event giving rise to the claim; or
- (b) $100.
Nothing in these Terms limits liability that cannot legally be limited under applicable law.
24. Indemnification
To the maximum extent permitted by applicable law, you agree to defend, indemnify, and hold harmless the operator of BOX ONE and their owners, officers, employees, contractors, affiliates, and service providers from claims, damages, liabilities, losses, and expenses arising from:
- Your violation of these Terms
- Your unlawful use of the Service
- Your User Content
- Your violation of another person’s rights
- Your misuse of BOX ONE
25. Governing Law
These Terms are governed by the laws of the State of Oklahoma, without regard to its conflict-of-law rules, except to the extent that applicable law requires otherwise.
26. Disputes
Any dispute arising from or relating to these Terms or the Service will be resolved in a court of competent jurisdiction, subject to applicable law.
Nothing in this section limits any rights or remedies that cannot legally be waived or restricted.
27. Changes to These Terms
We may update these Terms from time to time.
When we make changes, we may update the Effective Date and Last Updated date above.
If changes are material, we may provide additional notice when appropriate.
Your continued use of BOX ONE after updated Terms become effective constitutes acceptance of the updated Terms to the extent permitted by law.
28. Severability
If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions will remain in effect to the maximum extent permitted by law.
